How do I deactivate an electronic collection?

Answer

The service and portfolios for an electronic collection must be deactivated in order for the electronic collection to be deactivated in Alma. Also, if the collection was activated for search in the CDI, the collection will also have to be deactivated for search in the CDI.

Deactivate Service:

  1. Search for the electronic collection in the IZ
  2. Locate the correct electronic collection and click "Edit Collection."
  3. Navigate to the "Additional" tab. 
  4. Scroll down and click the ellipses button under the "Services" section. 
  5. Click the "Deactivate" button.
  6. Click "Save."

Deactivate Portfolios:

  1. Search for the electronic collection in the IZ
  2. Click the ellipses button and select "Edit Service."
  3. Navigate to the "Portfolios" tab
  4. Click the "Activate/Deactivate" drop down menu and select "Deactivate all."  

Deactivate for Search in CDI:

  1. Search for the electronic collection in the IZ
  2. Click the ellipses button and select "Deactivate for Search in CDI

 

If the collection is a subscription resource that is being canceled, it's a good idea to also close the purchase order line (POL) for the subscription by following these steps:

  1. Search for the POL using an Order Lines search
  2. Click Edit
  3. Click the Close button in the top menu
  4. Confirm

The POL will be closed and will no longer be in a status of "Waiting for Renewal."
